Poster Session Guidelines

Poster sessions will be held at the Gaylord Opryland Hotel and Convention Center. Each designated poster session space consists of a 3' by 6' table, a 4' by 6' cork message board where visual displays may be mounted, and one (1) chair for the session leader.

Presenters will need to provide items such as tacks, staples, and tape for mounting display materials on the board. CEC will not provide these items for you. Electricity will not be available for poster sessions.

If your display is mounted on a free-standing presentation board, please feel free to use the table instead of the corkboard.

There are many ways to present a poster session. The presentation of your session will depend on the type of research, instructional strategy, or effective practice you are presenting. Your display should contain the session title and the names of the presenter(s). It should include all illustrations, tables, graphs, and photographs. The text should be large enough for participants to read from a 3' to 6' distance. For greatest legibility, we recommend that you use both upper and lower case lettering in a serif font.

Please have handouts available; we suggest at least 150 copies. Determining the number of handouts to bring is always a challenge for presenters; therefore, we encourage you to provide a sign-up sheet for attendees to use if your supply of handouts is depleted. Also, be sure to mark any items that are not intended for participant pick-up as “DISPLAY ONLY.”

It is important that you remain with your display for the duration of the session. Much of the success of poster sessions is related to the onsite presence of the presenter(s). Interaction between the poster session leader and the convention attendees is vital, as convention attendees might have questions about the research or findings being presented. Sessions unattended at the conclusion of their allotted time will be dismantled and discarded.

There are 30-minute breaks between scheduled poster sessions. At the conclusion of your session, you will have 15 minutes to dismantle your display in order to allow the next presenters their 15 minutes to arrange their displays.
